Building Project Coordinator (Facilities Specialist)-(170000TA)
The Health Sciences and Human Services Library is currently recruiting for a Building Project Coordinator. The selected candidate will coordinate multiple operations for multiple facilities and/or events. This position is responsible for scheduling; planning, organizing, assigning, and coordinating facility, events, and/or property rentals that located are either on or off the University campus. Provides budgetary oversight and coordination of facility usage and/or events. This position may be required to work non-traditional hours in order to oversee events.
The successful candidate will possess the ability to manage multiple projects, provide excellent customer service and interact and communicate effectively with a variety of internal and external stakeholders.

Essential Functions: Provide general direction and leadership for all aspects of facility usage and/or events functions in order to maintain efficient operations.
Produce protocols and comprehensive standard operating procedures and other documents detailing information to all involved parties. Coordinate scheduling to maximize utilization of facility.
Prepare budget and maintain financial records. Obtain approval and billing information for all expenses related to the facility usage or events to include: property rentals, equipment rentals, vendor expenses, parking arrangements, and other such expenses. Complete related reports as defined by leadership.
Collaborate with clients on a wide range of services, including: facility maintenance, food and beverage requests, set-up/breakdown requests, special equipment needs, promotional materials, and signage.
Organize events and/or facility usage to ensure client satisfaction through consistent delivery of quality and service. Confer with clients before, during, and after events maintaining a positive relationship. Respond to inquiries and requests in a timely manner.
Conduct facility site inspections to ensure first-rate conditions and maintenance of properties.
Communicate with all relevant internal departments and subcontractors (building maintenance or vendor) regarding the specific needs of the client, both for planned or emergent situations.
May be directly responsible for the creation of marketing materials to promote facility usage, schedules, and events planning. Promotional materials may be in various forms of media from print to electronic. May include web content and/or site creation and maintenance.
Perform other related duties as assigned.
Education: Bachelor's degree in a related field of study.
Experience: Two (2) years of relevant experience in conference or events planning, property management , general services, marketing, or other related field.
Other: Except for qualifications established by law, additional related, progressively responsible experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the position may be substituted for the education or experience requirement, on a year-for-year basis, with 30 college credits being equivalent to one year of experience.
