The HR Coordinator assists the HR Generalist to ensure compliance with university policy and procedure. Individual exercises independent judgment in the resolution of human resource and payroll issues. This position is the first line of communication for HR matters in the Department of Radiology. Provides accurate, timely, routine customer focused HR support to division. Works to be viewed as a confidential, trusted, neutral resource for all HR matters. Assist HR Generalist and Division Administrators with special projects. Handles all inquiries with a customer friendly attitude. Works with the HR Generalist to think of ways to improve the HR services for Radiology Payroll
Management ( 65%)
Primary point of contact for employees (faculty, staff, student, post-doc fellows) for payroll.
Advises on payroll policies and procedures.
Assures that payroll is processed timely and accurately.
Enters all hours for weekly/casual employees into CATS system.
Prepares any payroll documents that are needed for all JHU Employees in the Department of Radiology.
Maintains systems to track faculty/staff payroll information and generates reports.
Responsible for handling all student requests and communication ensuring that all university requirements, payroll guidelines and deadlines have been met.
Implements systems and builds relationships with other resources not limited to the Shared Services, Payroll Office, Faculty Office and Post Doc Office to monitor/ resolve payroll issues, control salary, salary distribution/supplements/merit increases/terminate payroll.
Responsible for the timely distribution of all payroll checks.
Monitors and retrieves overpayments.
Processes promotions, transfers, reclassifications, salary increases and overtime.
Processes and manages tracking for all SAP Internal Service Requests (ISR).
Runs monthly reports for managers.
Works with the HR team members and the finance team in the department, to process all payroll changes including supplemental pay and ensuring that deadlines are met.
Recruitment and Selection (15%).
Assists HR Generalist with the onboarding and off-boarding of all faculty, post-docs fellows and staff.
Manages all student and summer hires. Advises managers on hiring process for summer hires.
Assists when needed to coordinate candidate interviews, complete references, and assist with offer letters.
Coordinates start date check list for new employees - space, computer, orientation packet. Processes new positions and employee information into SAP system. Works with supervisor to ensure a smooth onboarding process.
Coordinates placement of temporary staff as needed.
Handles the I-9 process for US citizens and advises Non-Citizens on appropriate steps when necessary.
Acts as the JHED Administrator for the Department of Radiology ensuring that all JHED related information has been updated in a timely manner and accounts deleted when necessary.
Creates new position numbers and submits position maintains when necessary.
Assigns SAP roles to positions when necessary.
Works with hourly employees to accurately track their time thru the weekly time sheets.
Tracks casual faculty hours with help from the manager and ISR payment information.
Advises managers and employees on changes in status including hour changes and concurrent employment rules.
Handles the E210 administration for the department. Runs reports and sends notifications so system is current.
Acts as back up to FML process.
HR Documentation (5%)
Responsible for the distribution, documentation and processing of 120-day and annual reviews from HR to supervisor.
Maintains and manages personnel files for all new hires and terminated employees.
Makes sure all required documentation is in Radiology personnel files and kept up to date.
